1. Information we collect

RugbyRoll collects the following information when you use the app:

• First name and surname, email address and telephone number (optional)
• Attendance data for the players of the team
• Club management data entered by administrators and coaching staff: players' name, position and shirt number (including minors), fee status (paid or pending), federation licence expiry date, announcements, calendar, training plans and kit requests
• Photos and files that users choose to upload: photo or document of the federation licence, proof of payment, club documents (forms and consents), training-plan image and photos of kit items
• Your device's notification identifier (token), if you agree to receive notifications

We do not collect location data or your contacts, and we do not access your photo gallery: only the photo or file you expressly choose is uploaded. We do not show advertising or use tracking tools.

2. How we use your information

The data collected is used exclusively to:

• Identify you as a user and manage your access to the club with the role that applies to you
• Show each person only the information that applies to them
• Record the club's attendance, fees, licences, documents and kit
• Send you notifications (approval of your account, club announcements, training reminders)
• Send you the password-recovery email if you request it

We do not sell or share your data with third parties for commercial purposes.

3. Data storage and security

The app's data is stored in Firebase Realtime Database (Google), hosted on servers in the European Union (europe-west1). Photos and documents are stored in Firebase Storage (Google Cloud), on servers in the United States (us-east1). Google provides safeguards for international data transfers and complies with the European Union's General Data Protection Regulation (GDPR).

Data is encrypted in transit. Each club can only access its own data and, within the club, each person sees only what their role allows. Photos and documents are protected by the same access rules.

4. Players' and minors' data

Players' and their families' data, including that of minors, is entered and managed by the club and its administrators, who decide what it is used for. RugbyRoll stores it on the club's behalf, solely to provide the service, and does not access it or use it for any other purpose. It is the club's responsibility to hold the families' authorisation to process this data.

5. Data retention

Data is kept for as long as the club's account is active. Club administrators can delete players, teams, attendance records, documents and files at any time from within the app.

You can delete your own account from the app: My Profile → Delete account. This deletes your profile and your access.

Under the GDPR, you have the right to:

• Access your personal data
• Rectify incorrect data
• Request the deletion of your data

RugbyRoll uses the following third-party services:

• Firebase Authentication (Google) — user account management
• Firebase Realtime Database (Google) — data storage
• Firebase Storage and Cloud Functions (Google) — storage of photos and documents, and access control
• Expo Push Notification Service (Expo) — sending notifications to the device; it receives the device identifier and the text of the notification

8. Changes to this policy

We may update this privacy policy from time to time. We will notify you of any significant change by email.
